Scientific/Academic Events Coordinator

The Company:
Our client is a conference/event/exhibition management company based in Belfast.  We are recruiting on their behalf for an experienced Scientific/Academic Events Coordinator.  The successful candidate must be willing to travel as this is a vital element for success with this role.

The Role:
Reporting to the Managing Director, the Scientific/Academic Events Coordinator will have lead responsibility for key clients, and management of all aspects of allocated events.  You will oversee an internal team on a project by project basis, taking responsibility for event systems and processes.  Delivery of an excellent quality of service is essential and events must be delivered according to key targets.

Duties:
·         Manage all conference and event management contracts
·         Assist in business development by devising tactical plans, preparing tenders and delivering client presentations
·         Client liaison including meetings, contact reports / status updates and the management of all client administration
·         Set up and management of client budgets – to include monthly management accounts and liaison with finance to issue invoices
·         Day to day liaison with third party suppliers
·         Sales strategy and implementation for sponsorship and exhibition sales
·         Preparation and monitoring of funding applications for conference subvention
·         Development of marketing programme for events and conferences, including the creation and updating of the website text and the media database of Specialist Publications
·         Co-ordination of associated event marketing including digital campaigns
·         Project management of various projects – conferences, seminars, launches etc
·         Literature management – writing and co-ordinating
·         Business development both with existing and new clients
·         Weekly Time Management Sheets must be completed for Monday morning action meetings

The Person:
·         A minimum of three years’ experience in a conference or event management environment with at least two years’ experience of scientific/academic and academic conferences
·         Must be able to demonstrate a strong success rate and the management of solid client relationships
·         Must be able to demonstrate strong project management skills – setting budgets, financial control, ensuring customer satisfaction
·         Must be experienced in working to stringent targets and tight deadlines
·         Must be experienced in working with large organisations
·         Full clean driving licence and preferably access to a car
·         Must have a flexible attitude to working hours as we have projects throughout Ireland and the UK and sometimes further afield
·         Must be prepared to travel
