Receptionist – Woodstock Lodge

Kennedy Recruitment is working in connection with its public sector client to recruit a Band 2 Receptionist based in Belfast. This is a temporary part time role for 20 hours a week. The hours of work will be Mon – Fri 1pm – 5pm.

 

The expected duties for this role will be -

 

*  General Reception and administration duties. Provide an information point for all visitors and staff, meet, greet and direct visitors to their desired location.

*  Deal with telephone enquiries courteously and effectively and redirect calls as appropriate.

*  Maintain an up to date knowledge of all services and operational activities

*  Provide a Help Desk service for all departments for the forward reporting of faults in the building e.g. reporting photocopier faults and maintenance jobs, maintaining records and following up as necessary to ensure work is carried out.

*  Check in all visitors undertaking works, issue visitor passes and keep a record as appropriate.

*  Operate reception as designated collection point e.g. receive and acknowledge fax messages, small parcels and special mail and arrange collection/delivery.

*  Maintain contact with Support Services and other staff to facilitate smooth running of the Centre.

*  Order stock supplies as required.

*  Manage bookings for accommodation including meeting, interview and rooms.

*  Assist with management of the Clinical Zone.

*  Monitor ground floor and other visible areas, viewing CCTV monitor periodically and responding appropriately to any untoward situations.

*  Act as the point of contact for departments in accordance with security protocols and procedures so that appropriate assistance can be called.

*  Deal with car parking issues e.g. lost stolen items/damaged/blocked in cars/incidents in car park.

*  Be responsible for programming and reordering proximity readers for staff, issuing and collecting keys where appropriate and maintaining up to date records.

*  Act as Nominated Fire Officer in absence of Centre Manager and contribute as required to fire safety.

*  Hold Accident/Incident book for Centre. 

*  Report spillages etc. to Centre Caretaker.

*  Ensure that all complaints of which the post holder becomes aware are appropriately dealt with and brought to the attention of the Centre Manager.

 

It is essential that candidates meet the following criteria -

 

*  4 GCSEs at grade C or above to include English Language

OR

*  At least two years’ experience in an administrative role

 

* A Basic Access NI is required for this role
