Administrator / PA

The Organisation

Our client is the key provider of social finance, business support and mentoring to communities across Northern Ireland and the Republic of Ireland.

As a registered charity, all profits generated by this organisation are recycled for reinvestment into the community and social enterprise sector.

Role Summary

Due to expansion our client is looking to recruit an Administrator / PA who will report directly to the Office Manager. The successful applicant would be responsible for providing varied administrative support to the organisation whilst providing excellent customer service for clients and community groups.

Hours of Work

Monday – Friday 9am – 5pm

Salary

£16,000 – £17,000 pa

Responsibilities

·         Answering phone and taking messages

·         Opening and distributing mail

·         Ensuring computer back-up is performed

·         Processing daily MIS postings

·         Producing quarterly statements from the MIS and mailing out

·         Setting up email for distribution of quarterly statements

·         PA duties for CEO

·         Preparing NISBLF letters for signing

·         Posting supplier invoices onto Sage and monitoring creditors ledger, including presenting payments list to Sandra

·         Reviewing expenses for mileage

·         Reconciling individual debtor balances on Sage to MIS

·         Reviewing actual loan repayments against expected on a weekly basis

·         Reviewing NISBLF bank postings for completeness

·         Maintaining directors travel records

·         Booking board meetings

·         Liaising with board re: attendance at meetings etc

·         Organising ad-hoc board and sub-committee meetings

·         Assisting with the organising of the AGM / EGMs

·         Maintaining stationery and kitchen supplies, water, photocopier etc

·         Lodging cheques and letters with bank

·         Posting mail

·         Logging enquiries on MIS

·         Assisting with batch mailings (marketing, annual reports etc)

·         Archiving files (including computer files)

·         Sending out application forms to potential loan applicants

·         Creating paper lending files

·         Compiling information for AML requests and payment approval checklists

·         Issuing client promotional material on drawdown

·         Providing assistance with monitoring, surveys etc

·         Providing assistance with marketing function (e.g. database monitoring, editing etc)

Essential Criteria

The successful applicant will have the following:-

·         2 years Administration experience gained within a busy office environment

·         Copy Typing experience

·         A minimum of 5 GCSEs including Maths & English (Grade C and above)

·         A flexible and adaptable attitude to work

·         Confidence in providing face to face or telephone based support to both internal members of staff or clients

Desirable Criteria

·         Experience of working with SAGE

·         Experience of administration of Mailshots, Mailers or Flyers
