Administrator, Londonderry, Co. Derry

Administrator required for our client in Londonderry in Co Derry , Northern Ireland.

The Role:

As an Administrator, the successful canidate will have the following responsibilities/duties:

  • Provide a comprehensive administrative /secretarial support to the Looked after Review and Child Protection Case Conferences, which will include: handling incoming and outgoing mail, the maintenance of an efficient filing system, typing, diary management, telephone calls, filing and photocopying etc.
  • Liaise with each Independent Chair in the preparation of agendas, minutes and associated papers and ensure their timely and correct distribution.
  • Arrange and service meetings this will include booking venues, issuing invitations, organising equipment/materials etc.
  • Take minutes of Looked after Reviews and Child Protection Case Conferences.
  • Interpret and record the relevant risk factors within the discussions.
  • The post holder will be expected to have a good working knowledge of Microsoft Office and maybe expected to develop skills in other P.C. Packages.
  • Identify and initiate any actions arising from each meeting.
  • Type up minutes for approval by the chairperson and distribute within the given timescales.
  • Ensure all information systems are updated regularly supply and download reports as directed by Independent Chairs, Service Managers and Heads of Service.
  • Act as reference point for enquiries within the office. Dealing in a polite and efficient manner with telephone calls and enquiries.
  • Provide administrative support in the production of high quality annual reports and documents e.g. mid-terms and annual reports. This work will require the post holder to work within tight timetables and as necessary involve extensive liaison with the Director of Social Care and Heads of Service.
  • The post holder will need to liaise closely with the Panel Information Officer to collect, verify and collate information as maybe required.
  • The post holder will operate as a member of the Family & Child Care Team and maybe required to provide support for other Service Managers/Independent Chairs in the absence of their own secretarial support.
  • Any other duties appropriate to the post as may be required from time to time.
  • It will be necessary for the post holder to develop a range of working relationships with all levels of staff within the Programme and in particular liaison between the independent chairs and other service managers.
  • It is recognised that there will be ongoing changes within the Programme and the post holder will need to be able to respond to these changes.

GENERAL DUTIES

  • Employees of the Trust will be required to promote and support the mission and vision of the service for which they are responsible.
  • Develop and maintain good communication with all levels of management and build partnerships with the wider HPSS, NHS and external organisations.
  • Carry out their duties and responsibilities in compliance with health and safety policy and statutory regulations.
  • Participate in the grievance and disciplinary processes as required.
  • Promote equality of opportunity through his/her own actions and ensure this policy is adhered to by staff for whom he/she has responsibility.


To apply for the position of Administrator, aplicants must possess the following:

  • A Degree or recognised professional qualification or equivalent and1 years’ admin/clerical experience to include Minute Taking

OR

  • 3 years admin/clerical experience to include Minute Taking
  • In addition to the above a full current driving licence and access to a car is also essential. Consideration will be given to alternative travelling proposals in respect of applicants with a disability who cannot hold a licence.
